Considerations When Planning a Large Party or Reception
Something that tends to slip the minds of a lot of people when it comes to planning a party or a reception are the various pieces of equipment needed to pull the event together. We can often become so wrapped up in the menu or in the music selection that we forget to make sure that people are protected from the elements and have something with which to eat. Heres a quick list of items youll want at hand for your party or reception. Tables: Tables are actually an item that most people dont think about until the very last minute. In many cases, there might not be enough tables or the tables might not be in good enough shape for your specific event. And of course if you are planning a party outside of a rental facility, youre on your own!Linens: Hand in hand with the tables go the table settings. Even if your facility provides satisfactory and sufficient tables, they probably wont have the linens to match your decorating vision (particularly if youre planning a wedding reception). Its prohibitively expensive to buy napkins and tablecloths for a single occasion, whereas renting the linens is quite inexpensive and allows you to choose the colours that match your overall design.Chairs: Again, quality and quantity are your primary concerns here. The facility may be able to provide stacking chairs, but will your guests be comfortable for the duration of your event?Tents: Those of us who live in climates with changing weather patterns love to take our big events outdoors in the summer months (and hope for clear skies). Tents are indispensable no matter the weather forecast; there might not be a cloud in the sky, but you and your guests will quickly realize that the afternoon sun can be just as uncomfortable as a rain shower!Cooling equipment: Summer can mean sweltering temperatures and a lot of discomfort wherever large groups gather. If youre not in an air-conditioned facility, you might want to rent a couple of units to keep those temperatures down and keep the guests comfortable while they are eating and dancing. If its an outdoor event, large fans for circulating the air are a great way to go.Electrical extras: Make sure that you have all the electrical power you need to drive the various pieces of equipment that are going to make the event a success. Extension cords, surge protectors, power bars and splitters will all be needed for a successful party. If this sounds like a big chunk of work (and change), dont worry too much.
